How to Reply to a 1-Star Review

A 1-star review is the loudest thing on your profile. People who find you on Google often sort by lowest rating first, so your reply to a 1-star review may be the most-read thing you ever write about your business. That's a chance, not just a threat.

Figure out which kind of 1-star it is

Not all 1-star reviews are the same, and the right reply depends on the type:

  • A real customer with a real problem. Treat it like any negative review: acknowledge, own it, fix it, take it offline.
  • A real customer who's angry about a policy. They may be upset about something you'd do again (a no-refund rule, a cancellation fee). Explain the reason kindly and briefly.
  • A star with no words. There's nothing to address, so keep it short and invite contact.
  • Someone who was never a customer. Reply calmly, say you can't find a record of them, and report the review if it breaks Google's rules.

Keep it short and specific

Your reply to a 1-star review should usually be three to five sentences. Long replies look defensive, and readers rarely finish them. Mention the specific thing they complained about so readers can see you actually read it, then give a clear next step: a name, a phone number or email, and an honest invitation.

Sign it with a real first name and role if you can. "– Priya, owner" reads like a person; "– The Management" reads like a form letter.

Never argue in public

The reviewer doesn't need to agree with you for your reply to work. You're writing for the next customer reading over their shoulder. If you prove the reviewer wrong but sound irritated doing it, you lose that reader anyway.

Avoid sarcasm, avoid blaming the customer, and avoid long explanations of how hard your week was. If there's a factual error that would mislead other customers, correct it in one calm sentence.

Don't reveal private information

Even when a reviewer shares their own details, don't add to them. Don't confirm what they bought, when they visited, or anything about their account. For healthcare, legal, and financial businesses this matters even more. A safe pattern is to speak generally ("we take every concern seriously") and move details to a private channel.

A quick checklist before you post

Read your draft out loud once. If it would sound odd said to the customer's face, rewrite it. Then run through these checks:

  • Did I mention the specific problem they raised?
  • Is there anything defensive, sarcastic, or blaming in it?
  • Did I leave out every private detail?
  • Is there a real name and a real way to reach us?
  • Would a stranger reading this want to give us a try?

After you reply

If they get in touch, solve the problem as well as you reasonably can. Some people will update their review afterward; many won't, and that's fine. Your public reply already did its job. If a pattern shows up across several 1-star reviews, treat it as free feedback about something in your business worth fixing.

Real problem, clear fix

Ordered a cake for my daughter's birthday and it wasn't ready at pickup. Had to scramble.

Reply

Hi Lauren, I'm so sorry. A birthday cake not being ready is exactly the kind of thing we can't get wrong, and we did. We've added a check the day before every custom order so it won't happen again. I'd love to make it up to you; please call the bakery and ask for me. – Beth, owner

Upset about a policy

Charged me a fee for canceling. Ridiculous.

Reply

Hi Mike, I understand nobody likes a fee. We hold each appointment for one client, so late cancellations leave a slot we usually can't fill. That's why the policy is on our booking page and confirmation email. If something unexpected came up, call us and we'll talk it through. – Rosa

Worst service ever. Avoid.

Hi, we take every review seriously, but we can't find any record of a visit under this name. If you were here, please contact us at hello@example.com so we can look into it. If this was meant for a different business, no hard feelings.

FAQ

Should I reply to every 1-star review?

Yes, in almost every case. An unanswered 1-star review lets the complaint stand alone; a calm reply gives readers your side and shows you care.

Can I get a 1-star review removed?

Only if it breaks Google's content policies, such as spam, fake engagement, off-topic content, or harassment. A review being negative or unfair is not, by itself, a reason Google will remove it.

Should I offer a discount in my reply?

Not publicly. Invite them to contact you, then make any offer privately.
