How to use these templates well
Every template below has brackets. Fill every one of them, and add at least one detail that only this reviewer mentioned: a dish, a staff member's name, the job you did, the reason they visited. That one detail is the difference between "they read my review" and "this is a bot."
Rotate your wording. If ten replies in a row start with "Thanks so much for the kind words!", readers notice. Keep a few openers and closers and mix them up.
Positive review template
"Thanks so much, [first name]! We're glad [specific thing they mentioned] made your [visit/project/day]. [Staff member] will be happy to hear it. See you next time! – [your name]"
Keep positive replies short and warm. Avoid stuffing them with keywords like your city and service name; it reads unnaturally and helps nobody.
Negative review template
"Hi [first name], thank you for letting us know, and I'm sorry about [specific problem]. That's not the experience we want anyone to have. [What you've changed or will do.] I'd like to make this right. Please reach me at [phone/email]. – [your name, role]"
For more on tough cases, read how to respond to negative Google reviews.
Neutral or mixed review template
"Thanks for the honest feedback, [first name]. We're glad you enjoyed [the good part], and you're right about [the critique]. We're [what you're doing about it]. Hope we get to show you the improvement next time. – [your name]"
Mixed reviews are gold. They tell you exactly what to keep and what to fix, and replying to both halves shows you listen.
Star-only review templates
Positive, no text: "Thanks for the [5-star] rating, [first name]! We appreciate you taking the time. – [your name]"
Negative, no text: "We're sorry we fell short. We'd like to hear what happened so we can fix it. Please contact us at [phone/email]. – [your name]"

Templates for tricky situations
Some reviews need a slightly different shape. A few more skeletons worth keeping:
Complaint about a policy: "Thanks for the feedback, [name]. We understand [policy] can be frustrating. We have it because [short, honest reason]. If something unexpected came up, please reach out at [contact] and we'll talk it through. – [your name]"
Review meant for another business: "Thanks for posting, [name]! We think this may have been meant for a different business, since we [don't offer X / aren't at that location]. Hope it gets sorted out. – [your name]"
Returning customer: "[Name], thanks for coming back again! It means a lot that you keep choosing us for [thing]. See you next time. – [your name]"
A short personalization checklist
Before you post any templated reply, make sure it passes these checks:
- Every bracket is filled in.
- It mentions at least one detail only this reviewer wrote.
- It doesn't start with the same words as your last few replies.
- It's signed by a real person.
- It contains no private details the customer didn't share.

Reply
Thanks for the honest take, Ben! Glad the tacos hit the spot. You're right about the volume; we've turned it down during dinner. Hope you'll come back and enjoy a conversation with your meal. – Luis

2 starsTechnician showed up two hours late with no call.
Reply
Hi Greg, I'm sorry. Showing up two hours late without a call isn't okay, and it wasted your afternoon. We now text customers whenever a tech is running behind. I'd like to make this right; please call me directly at the office. – Dave, owner

Is it okay to use the same reply for every review?
It's better not to. Identical replies look automated and make readers trust your reviews less. Personalize with at least one detail from each review.
Should I include keywords in review replies?
Write naturally for the reader. Stuffing replies with your city and service keywords reads awkwardly, and the reply should be about the customer, not your rankings.
How long should a review reply be?
Usually two to four sentences for positive reviews and three to five for negative ones.
