How to Apologize in a Google Review Response

A real apology is one of the most persuasive things a business can post in public. A fake-sounding one does the opposite. The difference usually comes down to a few word choices.

What makes an apology sound sincere

A good apology names the specific problem, takes responsibility for your part, and says what happens next. It doesn't hedge, and it doesn't make the customer feel blamed for being upset.

  • Specific: "I'm sorry your delivery was two days late" rather than "sorry for any inconvenience."
  • Owned: "we missed it" rather than "mistakes were made."
  • Forward-looking: one sentence on what you're changing or how you'll fix it.

Phrases that backfire

Some common phrases make apologies sound defensive or empty:

  • "We're sorry you feel that way." It puts the problem on their feelings, not your actions.
  • "Sorry for any inconvenience." It's generic, and it shrinks the issue.
  • "We're sorry, but..." Everything after "but" cancels the apology.
  • "This is very unusual for us." It may be true, but to the customer it sounds like an excuse.

Apologizing without admitting what didn't happen

Sometimes a reviewer describes events differently than you remember them. You can still apologize for their experience while staying accurate: "I'm sorry your visit was frustrating. I'd like to understand what happened, so please call me directly." That's honest and kind without confirming details you dispute.

In some industries, like healthcare, legal services, and insurance, be careful about wording that could be read as admitting liability or confirming someone is a client. Keep those replies general and move the conversation offline. If you're unsure, check with your own advisor.

Then do the thing you said

An apology that promises a change you never make will catch up with you, especially if the same complaint shows up again. Only promise what you'll actually do. If you fixed something, a later reply can mention it: "we've since added text alerts when a tech is running late."

How long should an apology be?

Shorter than you think. Three to five sentences covers it: the apology, one line of context if it truly helps, the fix, and the invitation. Every extra sentence is a chance to sound defensive. If you find yourself explaining your staffing, your suppliers, and the weather, cut it back to the apology and the fix.

Tone matters as much as length. Write in plain, everyday words. Corporate phrases like "we strive to exceed expectations" make a sincere apology sound like a press release.

A simple apology formula

When you're stuck, this structure almost always works: name the person, name the problem, take responsibility, say what's changing, and offer a direct line. Written out: "Hi [name], I'm sorry [specific problem]. That's on us. We've [change]. I'd like to make it right; please reach me at [contact]. – [your name, role]" Then edit it until it sounds like something you'd actually say.

FAQ

Does apologizing in a review mean admitting fault?

Not necessarily. You can apologize for someone's experience while staying accurate about the facts. In regulated industries, keep wording general and check with your own advisor if unsure.

Should the owner sign apology replies?

If possible, yes. A reply signed by the owner or manager carries more weight and shows the complaint reached someone who can fix it.
